MindManager at $99 or $179 a year, or $369 once: which one should you buy?

The conclusion first

MindManager is mind mapping software: you lay out ideas, plans and tasks as a branching diagram and turn them into project plans, Gantt charts and shared maps. There are three ways for one person to buy it. Essentials is $99 a year and runs in a web browser only. Professional is $179 a year and adds the Windows and Mac desktop apps, co-editing, the MindManager Go mobile viewer and every new version. The one-time purchase is $369 for the current version, MindManager 25, on Windows or Mac. There is no monthly billing on any of them. Two questions decide the choice: do you need the desktop app, and would you keep using the same version for more than about two years?

What each option costs, and what the price is really for

The pricing page sets its currency by where you are; from Japan it showed yen with tax included. The US dollar prices above are the ones MindManager's official online store charges with the United States selected, before sales tax, which the store says may be added based on your address. The general terms of the EULA also say prices exclude taxes. The pricing page says all prices are per user or per software license. A monthly figure such as $14.92 is only a comparison ($179 ÷ 12); every subscription is charged a year at a time.

One-time or Professional: the two-year line

The one-time purchase costs $369, or 2.06 times a year of Professional ($369 ÷ $179 = 2.06). After one year you would have paid $179 for Professional, after two years $358, still less than $369, and after three years $537. So the one-time purchase is cheaper only if you keep working on MindManager 25 for more than about two years without paying to move to a newer version.

What the lower long-run price leaves out matters as much as the price. Under section 7 of the MindManager-specific license terms, a perpetual license includes updates and patches free for the first twelve months and does not include new major versions. The feature comparison on the pricing page marks publishing and sharing of published maps, co-editing, the web version, Chromebook, the MindManager Go mobile app and personal content capture with MindManager Snap as not included in the one-time purchase. If you share maps with other people or work from more than one kind of device, Professional is the option that includes those.

Essentials or Professional: do you need the desktop app?

Essentials is the web version for individual work; its store listing describes it as single-user. The comparison table gives it basic rather than advanced project planning and task management, and no desktop app, co-editing, Chromebook, Microsoft Teams or mobile viewing app. The online store offers the upgrade from Essentials to the Professional annual plan for $80 more. If you need to work offline on a laptop, or co-edit a map with a colleague, Essentials is not enough.

Renewal, cancellation and refunds

Subscriptions renew automatically every year. Under section 6 of the MindManager license terms, you are charged for the renewal unless you tell MindManager at least 30 days before the renewal date that you do not want to renew. When you do, you keep using the software until the end of the paid year (section 4). The store's billing note says the same in short form: you can cancel at any time, and the cancellation takes effect at the end of the current term. MindManager may change renewal prices with 30 days' notice on its website or by email, and an increase announced during a term applies only from the next renewal (section 6). The general terms of the EULA state that, without prejudice to mandatory law, all amounts are non-refundable. If you buy a yearly plan, put a reminder in your calendar five weeks before the renewal date.

The Jira Integration add-on, which imports Jira issues into maps and syncs changes back, is offered in the store for $19 a year on top of Professional.

What one license covers

Section 4 of the license terms allows one license to be installed on one desktop or laptop computer, and the MindManager Go mobile app to run on up to two phones or tablets with the same account. A work computer and a home computer are two installations. Section 5 limits a buyer to five licenses under these terms; an organization that needs more has to buy a business or enterprise edition under separate business license terms. Section 3 describes the permitted use as "private, personal, individual work-related and non-commercial purposes"; if you are buying for use across a company, ask MindManager whether the Enterprise plan is the one you need.

Who should not buy yet

If you have not used mind mapping software before, use the free trial first: the pricing page offers 30 days with all features. Under the general terms of the EULA, trial software may be used for evaluation only, not for commercial or professional work, so plan to buy before you use it on paid projects. If six or more people in your organization need MindManager, the personal plans stop at five licenses, so ask for an Enterprise quote before comparing prices. And if you need monthly billing to try it for a single project, none of the published options offers it; the shortest commitment is a year of Essentials at $99.

What to actually do

Start with where you will work. Browser only, on your own: Essentials, $99 a year. Desktop app, sharing maps with others, or work on more than one kind of device: Professional, $179 a year. Desktop app on one computer, on your own, and you expect to keep the same version for three years or more: the one-time purchase, $369. Whichever plan you choose, note the renewal date and decide 30 days before it.
