How much does a toll-free number cost a small business each month?
Summary
A toll-free call is free for the person dialing from a landline, so the minutes land on your bill instead. That gives you two prices to compare: the number itself, and what each inbound minute costs.
Number included with the seat: Quo (one per user, local or toll-free, no added charge for incoming toll-free calls), Talkroute (one on Basic, unlimited US and Canada minutes, local and toll-free), Grasshopper (unlimited toll-free minutes), Aircall (one per license, but inbound toll-free calls are billed at a rate it does not print), and Ooma Office (one free toll-free number with 500 inbound minutes a month).
Number sold on its own: Dialpad $15 a month on an annual plan ($17 monthly) plus $0.02 a minute; Vonage $39.99 a month flat; Spectrum Business $2 a month plus $0.04 a minute; JustCall $6 a month plus minutes at an unstated rate.
Minutes with a ceiling: RingCentral Core 100, Advanced 1,000; Nextiva Engage up to 2,000, Scale up to 10,000; Ooma 500. Only Ooma prints a price past the ceiling (3.4¢ a minute).
At 1,000 inbound minutes a month, the toll-free part alone costs $0 at Quo, Talkroute and Grasshopper, $15 at Ooma, $35 at Dialpad, $39.99 at Vonage and $42 at Spectrum Business.
Who pays for the call
The FCC's definition is short: toll-free numbers "can be dialed from landlines with no charge to the person placing the call." A caller on a cell phone still uses airtime unless the plan is unlimited. Everything else is billed to whoever holds the number, which is why the same 800 number can cost nothing extra with one provider and close to $40 a month with another. The "one number" at Quo, Talkroute and Aircall is one number, local or toll-free. A company that wants a local number for its storefront and an 800 number on the website pays for the second one: $5 a month at Quo and Talkroute, $6 at Aircall, $9 at Grasshopper, $9.95 at Ooma.

Three hundred minutes is roughly fifteen five-minute calls a week. Three thousand is a small support line. The Ooma figure is the cheapest of its three ways to buy minutes (stay on the 500, add Plan 1, or add Plan 2), so it switches plan as the volume grows.
Dialpad rounds up to the minute. Its own example, covered in Is monthly Dialpad Standard more expensive than annual Pro?, is $0.02 for a call that connects and drops and $0.04 for a 62-second call. A number that takes lots of very short calls will cost a little more than the table says.
Vonage's flat $39.99 overtakes Dialpad's metered number at about 1,250 minutes a month. Below that, metering is cheaper; above it, the flat fee is.
Where the allowance runs out
RingCentral's plans page prints the allowance and then one line: "Additional toll-free minutes available for purchase." No price. Core's 100 minutes is about five minutes a business day. Which RingEX plan fits a small team goes through what else separates Core from Advanced.
Nextiva lists the toll-free number as an add-on on Core with no price, includes it on Engage with up to 2,000 minutes, and on Scale with up to 10,000. It does not say what a minute past those costs. Its separate toll-free feature page still reads "up to 2,500 toll-free minutes, starting at $20.95 per month," which matches none of the plans on the current pricing page. Ooma is the only one that prints the whole ladder: 500 minutes free, 3.4¢ a minute after that, or a toll-free calling plan. Its pricing chart lists Plan 1 (1,500 minutes in total, 2.9¢ after) at $15.00 and Plan 2 (3,000 minutes, 2.4¢ after) at $30.00. Texting from the number
A toll-free number has to be registered before it can text US customers. Quo says the registration "is included as part of your subscription." Talkroute says "There is no fee to register toll-free numbers on any Talkroute plan" and "There is no monthly campaign fee for toll-free phone numbers." Neither says how long approval takes. Providers that do not print a toll-free price
- CallHippo's pricing page says "Unlimited calling does not apply to premium or toll-free numbers," and shows no price for the number or the minutes.
- net2phone marks Toll Free Number as an add-on on every UNITE plan, with no price.
- Aircall's help center lists inbound toll-free calls as billable. The article gives no US rate.
- JustCall's toll-free cost page puts the number at $6 a month and says call usage "is charged separately," without a rate.
- Microsoft Teams Phone bills toll-free calls by the minute out of Communications Credits, and the balance has to stay above zero. If it falls to zero, Microsoft says toll-free numbers stop working along with most other calling.
- Google Voice does not accept toll-free numbers in a port, according to Google's porting requirements.
- RingCentral prices vanity numbers at $30 once plus $4.99 a month, but not a plain toll-free number.
Moving an 800 number you already have
