Does a business phone plan include online fax, and what does it cost if not?

Summary

Included: Ooma Office gives every user a Virtual Fax with its own fax number at no charge, on all three plans. RingCentral includes unlimited internet fax on Advanced and its AI bundles but not on Core. Zoom Phone includes 50 pages a month on its two lower plans and unlimited on Business Plus.

Sold separately: Nextiva's pricing table marks online fax "Add on" and its vFAX product starts at $7.95 a month for 500 pages or $13.95 for 1,000, with extra pages at $0.03. Dialpad and Vonage both sell fax as an add-on without printing a price.

Not listed: Quo, Talkroute, Google Voice, Aircall and JustCall have no fax line on their pricing pages.

Fax without the phone plan: Fax.Plus runs $6.99 a month for 200 pages up to $27.99 for 1,000 on annual billing, with a free plan good for 10 pages in total.

The plan step is the real price at two providers. Getting fax at RingCentral means paying $5 a user a month more for Advanced than for Core; unlimited pages at Zoom mean $8.50 a user a month more for Business Plus than for US & CA Unlimited, both on annual billing.

The RingCentral row is the one to read twice. Its comparison table lists "Unlimited internet fax" as Not available on Core and Included on Advanced and the two AI Customer Engagement Bundles, so a team that signs up for the cheapest RingEX plan has no fax until it moves up. Ooma goes the other way: Virtual Fax is tied to a user's extension, comes with a dedicated fax number, and the fax page says it costs nothing extra on any Ooma Office plan. Zoom's 50 pages are printed without saying whether that is sent, received, or both, so it is reproduced here as "50 pages."

Nextiva's pricing table says only "Add on." Its separate vFAX page prices the product at $7.95 and $13.95 a month, describes the pages as one pool for inbound and outbound, says failed faxes are not counted, and charges $0.03 a page past the pool. The same page carries the title "Online Faxing Starting at $9.95", which does not match the figures in its own table and may be the monthly-billing price; both numbers are reported as printed.

The fax part of the bill by pages a month. “Included” means the plan's price already covers it; the plan step that gets you there is in the text. Nextiva vFAX and Fax.Plus use whichever of their tiers is cheapest at that volume. Calculated, not quoted.

Three of the six rows do not move with volume because the plan already covers fax; what they cost is the plan step, $5 a user a month at RingCentral and $8.50 at Zoom, both for every user on the account, not only the one who faxes. Zoom's US & CA Unlimited plan shows "not published" from 100 pages because the pricing page gives no rate for pages over the 50 included. The Nextiva vFAX and Fax.Plus rows pick the cheaper tier at each volume, so Nextiva's 1,000 pages is the $13.95 tier rather than the $7.95 tier plus 500 pages at $0.03.

If you fax a few pages a month

A business that sends ten pages a month has two cheap routes: Fax.Plus's free plan, which covers 10 pages in total rather than per month, or a phone plan where fax is already in the price. A five-person team on RingCentral Core would pay $5 times five each month for Advanced, which buys unlimited fax along with the rest of the Advanced feature list, so the comparison is between that and a $6.99 fax-only subscription. A separate fax service also means a separate fax number. If the number on your letterhead has to stay, check that the service can port a fax number in before signing up; Fax.Plus lists number porting from its Premium tier.
