How much does a business phone system cost for 10 to 20 people?

Summary

Ten people: $55 at Grasshopper to $300 at Aircall a month across the 16 providers that publish a price and sell at that size, with a median of $165. Fifteen: $55 at Grasshopper to $450 at Aircall. Twenty: $55 at Grasshopper to $600 at Aircall, median $350. Annual-billing prices where published, before taxes, fees and call charges outside the plan.

The two cheapest are not priced per person. Grasshopper charges one flat price for the account and Talkroute charges a flat price plus $5 for each user above the ones included, so both pull away from the per-seat providers as headcount grows. Among per-seat plans, Vonage Mobile is the cheapest at every size here, followed by the $15 seats at Dialpad, Nextiva, Quo and Phone.com.

Four things move the order between ten and twenty. Google Voice Starter stops at ten users, so fifteen people need Standard ($170 for ten people on Starter, then $405 for fifteen on Standard). Vonage drops its per-line price at twenty lines ($12.59 a line for fifteen on Mobile (5–19 lines) and $10.49 a line for twenty on Mobile (20–99 lines), so twenty lines cost $209.80 against $188.85 for fifteen). Talkroute's $5 extra users add up ($59 for ten on Pro and $109 for twenty on Pro). And net2phone's published plans stop at nine users, so it is not in the table at all.

The gap between the cheapest and the most expensive at twenty people is $545 a month, which is the whole point of checking at your own headcount rather than reading a per-user price.

Read the two flat-rate rows differently from the rest. Grasshopper Small Business is a virtual phone service: four numbers and unlimited extensions for one price, run from the mobile app, with no per-user desk-phone seat behind it. Talkroute sells the same kind of service and includes one user on Basic, three on Plus and ten on Pro, then charges $5 a month for each extra user. Twenty people on either will not get what twenty seats at Dialpad or RingCentral get. Google Voice is the row to watch if you are at ten today and hiring. Starter is capped at ten users, and the next plan, Standard, costs twice as much per user before the Workspace license that every user needs. A team that grows from ten to eleven does not pay for one more seat; it pays for a new plan on every seat.

Ooma's figure includes its $29.95 setup fee, the only one-time charge published among these providers. Google Voice, Ooma and Intermedia publish no annual-billing price, so their rows are the monthly price times twelve. Microsoft Teams Phone is shown with the Calling Plan that includes domestic minutes, not the pay-as-you-go variant, because a pay-as-you-go bill cannot be known in advance; at ten people it comes to $210, of which $40 is the Teams Essentials license.

For most providers the per-person figure is simply the seat price and does not move. It moves where the plan is flat or banded: Grasshopper falls to $55 on Small Business, or $2.75 a person at twenty, Talkroute's per-person cost edges down as more users share the flat price, and Vonage steps down at twenty lines. If your headcount sits just below one of these thresholds, it can be worth asking the provider whether they will sell you the next band early; the pricing pages do not say.

What is not in these numbers

Taxes and regulatory fees, which can add several dollars a line on some providers and almost nothing on others (What do E911 and regulatory fees add to a business phone bill?), desk phones and headsets, toll-free minutes, international calls, and any add-on such as call recording or a second number. Providers that publish no price at all, including 8x8, GoTo Connect and Switchvox, are absent because there is nothing to compute.
