How much does a business phone system cost for 2, 3 or 5 people?

Summary

Per month, two people pay from $24 at Talkroute up to $90 at Aircall; three pay from $25 at Grasshopper up to $90 at Aircall; five pay from $39 at Talkroute up to $150 at Aircall. That covers the 17 US providers in this site's dataset that publish a price, each on the cheapest plan it sells at that headcount.

The middle of the range is $34, $51 and $85 for two, three and five people. Dialpad, Nextiva, Phone.com and Quo charge the same per person on their entry plans, so they tie at every size.

The low end belongs to flat-priced plans. Talkroute and Grasshopper charge by the account rather than the person, so the bill barely moves as you add people, until a plan's user or extension limit forces a step up.

At two people, seat minimums matter. Aircall sells at least three seats, so two people pay $90, the same as three. JustCall's minimum is two.

These are plan prices. Taxes, regulatory fees and calls outside the plan come on top everywhere. Google Voice and Teams Phone are shown with the Google Workspace or Teams Essentials license they cannot run without.

Each cell is the cheapest plan that provider will sell at that headcount, which is not always the same plan in every column. Grasshopper's Solo Plus allows three extensions, so a fifth person moves the account to Small Business, from $25 on Solo Plus to $55 on Small Business. Vonage goes the other way: it prices seats by band, and a five-line account falls into a cheaper band, from $13.99 a person at three to $12.59 a person at five. Google Voice for three people comes to $51, of which $21 is the Workspace license, which is why it sits mid-table despite a low Voice price; Is Teams Phone or Google Voice still cheap once you count the license underneath? goes through that in detail.

Teams Phone is priced on its Calling Plan. Microsoft's pay-as-you-go option has a lower seat price, but every call is billed by the minute on top, so there is no fixed monthly figure to put in a table.

The order is by the three-person bill, with ties broken alphabetically. Whether a provider pays this site a referral fee plays no part in it.

The first-year figure is the monthly bill times twelve, plus any one-time setup fee the provider publishes. Ooma is the one provider here with such a fee, which is why its first year is slightly more than twelve months of its plan. What the table leaves out

Taxes and regulatory recovery fees are the biggest omission, and most providers do not publish them; Nobody publishes what the fees add explains what is known. Desk phones, international calls and add-ons such as call recording are extra as well.

The cheapest plan is also not always a complete one.
